1. Angling Customers
Type of personal data collected: Name, address, phone number, email address, government angling licence number. No bank details.
Where the personal data comes from:
- Individuals who contact us seeking to book fishing.
- Individuals who respond to an annual angling ‘newsletter’ circulated to clubs and to individuals who have booked with us in past years.
- Individuals via the Fishpal booking website, a Scottish company that hosts our fishing details.
- Purchasers of season permits sold directly from the office or from third-party fishing tackle shops that earn commission for direct sales.
- Purchasers of government fishing licences distributed by us, requiring only name and date of birth. This is completed online but a paper record is retained.
How it is used: For correspondence purposes and to identify those fishing on our private fisheries.
Who it is disclosed to and why: No other bodies or individuals, except in rare cases of illegal fishing requiring consultation with DAERA Inland Fisheries Group for prosecution.
How long the data is retained for: 3 years for fishing permits and casual bookings; 1 year for government licences.
2. Charitable Grant Applicants
Type of personal data collected: Name, address, phone number, and email address for applicants, including bank details for organisations and some individuals.
Where the personal data comes from:
- Completed application forms sent via email or hard copy.
- Telephone calls prior to or after application to clarify or obtain further information.
How it is used: For correspondence during the application process and decision-making.
Who it is disclosed to and why: Shared only with office staff and the Local Advisory Committee members who review applications.
How long the data is retained for: 3 years post-decision, with only a record of the organisation or individual’s name, grant date, and amount retained afterward.
3. Property Tenants
Type of personal data collected: Name, address, email address, phone number, and bank details.
Where the personal data comes from: Provided by property agents for building leases, shooting rights licenses, or other property leases, often for long-term ground rent payers.
How it is used: For sending invoices, documentation, legal notices, and other related correspondence.
Who it is disclosed to and why: Not disclosed to third parties; tenants manage matters like rates directly.
How long the data is retained for: For the lease duration, potentially up to 50 years, or indefinitely for ground rent tenants.
4. Suppliers
Type of personal data collected: Name, address, email, phone numbers, and bank details.
Where the personal data comes from: Directly from suppliers.
How it is used: For business-related correspondence.
Who it is disclosed to and why: Not normally disclosed to third parties.

5. Invitees to Networking Events and Functions

Where the personal data comes from: Through research by the Irish Society and/or personal contacts.
How it is used: To invite individuals to networking events or private functions as part of the Irish Society’s link between the City of London and Northern Ireland.
